“External” label to email threads now being added to Gmail to identify emails with recipients outside your organization

Gmail will show these alerts when the users get a message from an external email address,

Google is adding up a new “External” label to email threads that include recipients outside your organization. This means now the emails received from outside your Google Workplace organisation will be labelled as External. This comes with the existing external recipient warning banner, which is displayed when responding to emails sent from outside of your organization. 

As per the latest blog post by the tech giant the “External” label will be visible on Gmail on the web and Android devices. However, the admins will have access to turn these warning labels on or off for their organization. mail shows these alerts when your users get a message from an external email address, and when they reply to a message or conversation with an external address.

According to Google, the “External” label and the reply warning banner and label are helpful reminders for users to treat external messages with caution. This would be helpful in avoiding the unintentional sharing of confidential information with the recipients outside of their organization. They also remind people to treat external messages with caution. Whereas the secondary and alias domains are exempted from being labelled as “External”. 

To get started, the admin should first sign in to their Google Admin console. It should be noted that you should sign in using an administrator account, not your current account. Then from the Admin console Home page, go to Apps>Google Workspace>Gmail>End User Access. To see End User Access, scroll to the bottom of the Gmail page. Now select your top-level organization and scroll to the Warn about external recipients setting. After this click the checkbox to turn warnings on or off and click save. Notably, it can take up to 24 hours for your users to get these alerts after you turn them on. You can track settings changes in the Admin console audit log.

On the other hand, no action is required for the end-users. When enabled by your admin, you’ll see the “External” label and warning banner when interacting with or replying to email threads with recipients outside your organization or contacts. This feature will be available to all Google Workspace customers, as well as G Suite Basic and Business customers
