To perk up the user experience Google is now rolling out a new feature for users to grant access to files on Drive straight from Gmail. Up till now, an individual has to manage a received request from another user for permission to access a particular file whether it is Docs or Sheet in a separate tab or app. But now the admins do not need to manage the mode of access separately as the company has come up with a new feature by sending a dynamic email so that they do not need to leave Gmail.
While announcing the dynamic email feature Google via blog post said “We’re making it easier to manage access requests to Drive files by sending dynamic emails which allow you to respond to the request without leaving Gmail.”
So now you can complete a task without leaving a message. The new feature can be used to RSVP to events, fill out questionnaires, browse catalogs, respond to comments, update emails to display the latest content.
According to the tech giant, someone requests access to a Drive file, you’ll receive an email with the access request. Using this feature, you can now manage that request directly from that email, without leaving the message. You will receive a dynamic email that lets you review the request, choose the access level (e.g. edit, comment, or view), and grant access directly from the email.
Until now the users were required to open the document in a separate tab or app to be able to access the request. The dynamic email will work both for Gmail users on the web as well as on Android, and on iOS devices. Also, be aware of the ‘from’ address for access request emails is changing with this launch. They will now come from [email protected].
According to the company for admins, the feature will be ON by default if the dynamic email is available for your users.
How you can turn dynamic email on or off
- Sign in to Gmail on your desktop
- select Settings on the top right, See all settings.
- Next to “Dynamic email,” turn on or off Enable dynamic email.
- Now click Save changes.
You can identify dynamic email when you see a lightning bolt next to a message. The company has begun rolling out this feature to Essentials, Business Starter, Business Standard, Business Plus, Enterprise Essentials, Enterprise Standard, Enterprise Plus, Education, Enterprise for Education, and Nonprofits customers, and users with personal Google Accounts
